Information we collect

Information you give us

  • Enquiries: your name, email address, the brand or service you are interested in and the details of your message. Some of our brand websites also ask for your company name, phone number and project files such as logos, artwork or photos.
  • Quotes and projects: contact details, billing details, site or venue information, event dates, drawings, artwork and any other information needed to design, produce, deliver and install your project.
  • Correspondence: emails, messages and call notes when you contact us directly.

Information collected automatically

  • Technical information: when you send an enquiry form we record your IP address and the time of submission to help prevent spam and misuse.
  • Server logs: our hosting provider keeps standard server logs (such as IP address, browser type and pages requested) to run and secure the website.

We do not knowingly collect special category data (for example health information) and we ask you not to include it in enquiries.

How and why we use it

UK data protection law requires us to have a lawful basis for each use of your information.

PurposeLawful basis
Replying to your enquiry and preparing a quoteSteps taken at your request before entering into a contract; legitimate interests in responding to business enquiries
Designing, producing, delivering and installing your projectPerformance of a contract
Invoicing, accounting and tax recordsLegal obligation
Protecting our website from spam, fraud and misuseLegitimate interests in keeping our services secure
Keeping a record of our work and our client relationshipsLegitimate interests in running our business

We do not sell your personal information and we do not use it for automated decision-making. We will only send you marketing emails if you have asked us to, and you can opt out at any time.

Who we share it with

We only share personal information where it is needed for the purposes above, with:

  • Service providers who host our websites and email and provide IT, accounting and payment services;
  • Production and installation partners, such as print suppliers, couriers and installation teams, when they are needed to deliver your project;
  • Event organisers and venues, where stand plans or contractor details must be submitted for approval;
  • Professional advisers such as accountants and lawyers;
  • Authorities such as HMRC, where the law requires it.

Our providers may only use your information to provide services to us.

International transfers

Some of our service providers may store or process information outside the UK. Where this happens we rely on the safeguards permitted by UK law, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum.

Our websites load fonts from Google Fonts. When a page loads, your browser connects to Google’s servers, which receive your IP address. Google’s privacy policy is available at policies.google.com/privacy.

How long we keep it

  • Enquiries that do not become a project: up to 24 months after our last contact, so we can follow up on related requests.
  • Client and project records, including invoices: 6 years after the end of the financial year they relate to, to meet our accounting and tax obligations.
  • Spam-prevention data: the counter linked to your IP address is deleted automatically after one hour; the IP address recorded in the enquiry email is kept with that enquiry.

When information is no longer needed we delete it or make it anonymous.

Keeping it secure

We use appropriate technical and organisational measures to protect your information, including encrypted website connections (HTTPS), access controls and limiting access to people who need it. No system is completely secure, so please avoid sending highly sensitive information by email or through our forms.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to our use of your information where we rely on legitimate interests;
  • ask us to transfer information you gave us to another organisation (data portability).

Some rights only apply in certain circumstances. To make a request, email info@nextleveldesign.co.uk. We will normally respond within one month and there is usually no charge.
